Cancel a rota, or change its time
Plans change. An event gets called off, or the start time slips an hour. You can say so yourself, on the board, and the shared link tells the truth without you editing a single WhatsApp message.
Change the time
On the rota's board, tap ⋯ (Rota actions), set the New start time there and tap Save time. The whole rota slides by the same amount, so every slot keeps its place relative to the others: an AV-setup slot that sat 30 minutes before the start still sits 30 minutes before. Anyone who claimed gets one text with the new time, and their phone calendar updates on the next refresh. Times hold across the clocks changing (a 12:30pm stays 12:30pm).
Changing the time is reversible: just change it back.
Cancel a rota
In the same ⋯ Rota actions sheet, tap Cancel this rota (it sits last, below everything else). Because a cancellation cannot be undone once the word is out, Kadim asks you to confirm, and the confirm carries the honest question: it tells you how many people claimed, and offers to let them know by text (ticked by default).
When you confirm:
- The rota becomes cancelled. It is a tombstone, not a delete: it stays on the record, so the year-coverage view honestly shows that this one occasion was cancelled, never quietly erased.
- Everyone who claimed gets one courtesy text ("... has been cancelled"). A volunteer whose number has texts stopped is not texted; Kadim tells you to let them know yourself.
- The shared link now teaches, it does not error. Anyone tapping the WhatsApp link lands on a calm "This one's cancelled" page, with the date and title, instead of a dead link or a live claim button. You never have to chase down and edit three group chats.
- Each claimant's phone calendar drops the cancelled duty on its next refresh.
Prayer is never altered by the system, only by you
Kadim's automation will never cancel, skip, or move a prayer rota on its own, that stays true. But you may cancel any rota, including Jummah, if you have a reason, Kadim does not second-guess you. And a cancellation is always for one date only: if you cancel this Friday's occurrence of a standing schedule, next Friday still runs as normal, and the daily publish never un-cancels the date you cancelled.
Good to know
- Cancel is terminal. A cancelled rota cannot be re-opened, re-published, or claimed. If you need it back, publish a fresh one.
- At most one text per person, per change, never a broadcast.
- Your role matters: only coordinators can cancel or re-time a rota.
