Rota, slot and status states
The words Kadim uses on the calendar, on a slot row, and on the year heatmap, with what each one means. The same words are shared by the volunteer's roster and the coordinator's board, so a state means the same thing everywhere.
Calendar states
On the agenda, each rota is an action row with a written state and glyph. The month grid shows the same vocabulary on occurrence chips. The compact phone month uses one dot to say that a day is busy; tap the date to open that day's rotas. Nothing depends on colour alone.
| State | Shown as | Meaning |
|---|---|---|
| open | Solid, circle | Seats free, still plenty of time |
| filled | Solid, tick | Every seat is taken |
| at risk | Heavy border, triangle | Seats free and the start is inside 48 hours. Act on these first |
| planned, publishes itself | Dashed outline | A standing schedule will publish this one. On the agenda it says when |
| skipped | Dotted, struck through | A date you skipped on an activity series |
| expected but missing | Double border, cross | The series owed this date and no rota exists. Open the schedule page |
Two markers can also appear on a day:
- Time changes from this date marks where the anchor time moves (your seasonal time plan).
- Clocks change this day marks the clocks-change Sunday.
A seat count reads {filled} of {total} filled, shortened to
{filled}/{total} on wider month grids. A busy day shows up to three
occurrences and collapses the rest into +{n} more; on a phone, the day dot
leads to the full list.
Slot statuses
Every slot is a row you tap to open its panel, and claiming, dropping or covering happens in that panel. The row carries a status pill showing where the slot stands.
| Status | Meaning |
|---|---|
| Open | The slot is free to claim |
| You | You hold this slot |
| Filled | Someone else holds this slot |
| Reopened | Someone dropped it and it is open again |
| Blocked | It needs a check you don't have yet |
The action inside the panel is one of Claim, Drop, Add DBS, or, for a coordinator covering a slot themselves, Cover this myself. A slot needing an enhanced check shows Enhanced DBS required. A reserved slot shows its audience: Any, Brothers or Sisters.
Year heatmap bands
On the trustee year view, each weekly cell is coloured by how full the rota was when it ran. Every cell also carries its exact figure, so colour is never the only signal.
| Band | Meaning |
|---|---|
| No rota that week | Nothing was expected: before the schedule began, a skipped date, or after it ended |
| Expected, nobody served (0%) | The mosque was owed a rota and no one served, including weeks never published |
| Under half filled (1-49%) | Fewer than half the seats filled |
| Partly filled (50-79%) | Between half and four-fifths filled |
| Nearly full (80-99%) | Almost every seat filled |
| Fully covered (100%) | Every seat filled |
A "No rota that week" cell never drags the year average down; only weeks the schedule was expected to run count towards it. How to read the whole view is in Read a year of coverage.
