Your first week as a trustee
As a trustee you carry the safeguarding duty personally. This walkthrough takes you once through the dashboard: read where your mosque stands, record a check you have in front of you, chase one that's expiring, and export the audit a regulator would ask for.
Step 1: Read your picture
Sign in and open Safeguarding. Four tappable status counters sum up your whole mosque, and everyone serving appears below with a status chip. Tap a counter to show only that status group. For more control, tap Filter to open the bottom sheet, where you can search, choose a status and change the sort order; apply the filters to refresh the register or clear them to see everyone.

- Valid means a verified DBS within its three-year re-check window.
- Expiring means the re-check is due within 90 days. Still valid today.
- Missing means no check on record yet. Most people simply haven't been asked.
The four counters and the words on each chip are set out in full in Rota, slot and status states and The five DBS facts Kadim stores.
Step 2: Record a check you hold on paper
When someone shows Missing but you have their certificate in front of you, tap their row to open their compliance detail sheet. Record check records exactly five facts: the level, workforce, 12-digit certificate number and issue date you enter, plus the fixed "verified" status, meaning you have seen a clean certificate.
Save it, and the register refreshes on the spot: their chip flips to Valid, the row leaves the Missing group and the sheet closes. This records that you attest you saw the certificate for this mosque, and it writes a who / what / when entry to the audit log. A manual check is per-mosque, not a global profile record. Kadim never asks you to upload the certificate and never stores the certificate itself; it stores only the five facts, with the certificate number encrypted at rest.
Step 3: Chase an expiry
Anyone showing Expiring has Send a reminder in their compliance detail sheet. One tap texts them the renewal steps, so you never compose the awkward message yourself. Every reminder is written to the audit log too.
Step 4: Export the audit
Tap Export audit and hand the PDF to anyone who asks: every serving member's DBS status, the policy review sign-off, and the moment the document was generated. One tap, and "we're on top of it" is provable rather than a feeling.
Where to go next
- See your safeguarding picture and export the audit covers recording, chasing and the annual policy review in full.
- DBS and safeguarding in Kadim explains what we store, why, and what we never touch.
- Read a year of coverage is the view to take into a committee meeting.
